Overview: For the ASEAN Tourism Forum 2025 (ATF 2025), Evenesis was appointed to deliver a fully digital, scalable, and sustainable event technology ecosystem for one of ASEAN’s largest tourism exhibitions. Held from 15–17 January 2025 at Persada Johor, Johor Bahru, the event gathered over 1,000 buyers, sellers, trade visitors, and delegates from ASEAN Member States and international dialogue partners.

ATF 2025 was a landmark event under Malaysia’s ASEAN Chairmanship, designed to strengthen regional collaboration while advancing digital transformation and sustainability. Evenesis played a critical role in powering seamless registration, structured business matching, fast on-site operations, and paperless engagement — ultimately earning the company the MBEA – Event Technology Excellence Award (Exhibition) for innovation and impact.

Challenges:

  • High Volume of Business Meetings:
    • Each buyer was required to complete 60+ structured meetings, creating intense scheduling, tracking, and verification demands.

Implementation:

Before the event, participants registered online, received WhatsApp confirmations, and booked meetings through the PSA system. This ensured all business meetings were structured and confirmed prior to arrival.

On-site, attendees checked in via e-ticket scanning and kiosks, with badges printed on demand. The Appless Portal replaced printed materials entirely, allowing delegates to access all event information instantly on their mobile browsers.

Throughout the event, organisers monitored live dashboards to manage crowd flow, track meeting completion, and resolve issues in real time, ensuring smooth operations across the exhibition floor.
