Overview

Cradle LIVE! ASEAN Startup Summit 2025 was held across three days from 3 to 5 November 2025, with each day taking place at a different venue: Heritage Valley, JIOSpace and ZeppKL.

As a multi-day summit involving different locations, venue setups and attendee touchpoints, the organiser required a reliable event technology solution to support registration, attendee check-in, event access, lead engagement and on-site operations.

Evenesis was appointed to provide an integrated event solution consisting of Evenesis PPE, mobile check-in, APE, Evelet, on-site support with badge printing, event supervisors, crew support, event badges, lanyards and plastic pouches.

The solution helped the organiser move away from fragmented manual processes and manage the attendee journey more efficiently across all three event days.

Challenges

1. Coordinating Operations Across Three Venues

The summit took place across three different locations over three consecutive days, including an outdoor venue setup.

Each venue required its own registration and check-in setup, equipment preparation, manpower coordination and operational planning. The team needed to ensure that the event technology and physical registration setup could be deployed and adapted according to the requirements of each location.

2. Moving Away from Manual Registration

The organiser wanted to reduce dependency on manual registration processes involving Excel sheets, Google Forms and separate tracking documents.

A more structured digital registration system was required to manage attendee information, payment records, promo codes and event access in a centralised environment.

3. Managing Multiple Attendee Touchpoints

The event required more than simply registering attendees.

The attendee journey involved registration, payment, check-in, badge collection and access to event information, while exhibitors and participating stakeholders also required a solution for capturing and managing leads.

4. Ensuring On-Site Operational Readiness

With multiple venues and different operational requirements, the organiser required dedicated on-site support to manage equipment, badge printing, check-in devices, event materials and attendee enquiries throughout the three-day summit.

Solution/Services

Evenesis implemented an integrated event technology and on-site support solution covering the key stages of the attendee journey.

1. Registration & Payment — Event Registration System

The Evenesis registration system was used to manage attendee registration, payment collection, promo codes and attendee data.

By bringing these processes into one platform, the organiser was able to maintain a more structured attendee database while reducing the need to manage information across multiple manual tools.

2. Faster On-Site Arrival — Mobile Check-In

Mobile check-in enabled the on-site team to digitally verify attendees and record attendance using mobile devices.

This reduced reliance on manual attendance lists and provided a more efficient way to manage daily attendee access throughout the summit.

3. Centralised Event Information — APE

The Appless Portal for Event (APE) provided attendees with a central digital platform to access important event information.

This included:

  • Event agenda
  • Speaker information
  • Sponsor information
  • Announcements
  • Customised event content
  • Favourite sessions
  • One-to-one attendee chat

By bringing key information together in one place, APE helped create a more convenient and connected attendee experience throughout the summit.

4. Digital Lead Engagement — Evelet

Evelet, the exhibitor lead retrieval and tracking solution, was provided to support lead engagement during the event.

It enabled participating exhibitors, sponsors and stakeholders to digitally capture and manage leads in a more structured way, reducing dependency on manual lead collection.

5. On-Site Badge Printing & Registration Support

Evenesis provided the physical requirements needed to support the registration and check-in operation, including:

  • On-site badge printing
  • Event badges
  • Lanyards
  • Plastic pouches
  • Check-in devices
  • Registration equipment

This allowed attendees to collect their badges on-site and proceed through the arrival process in a more organised manner.

6. Event Supervisors & Crew Support

The event operation was supported by two Evenesis event supervisors, together with crew members assigned to assist with registration, check-in, badge printing and attendee enquiries.

The Evenesis CX team also coordinated the technology setup, crew training, testing and on-site operational support throughout the event period.

Implementation

Ahead of the summit, the Evenesis team configured the registration and payment setup, promo codes, attendee database, APE and Evelet, while preparing the necessary check-in devices, badge printing equipment and event materials.

The on-site team then deployed the required technology, equipment and manpower across Heritage Valley, JIOSpace and ZeppKL, adapting the setup according to each venue’s layout and operational requirements.

Throughout the three-day event, Evenesis supported registration, mobile check-in, badge printing and attendee enquiries. The team also accommodated last-minute additional badge requirements on-site, allowing the organiser to respond to changing attendee requirements without disrupting the registration operation.

Crew training, equipment testing and on-site coordination were managed by the Evenesis CX team, with two event supervisors and supporting crew providing operational support throughout the summit.

Outcomes

1. More Structured Registration Management

The organiser moved from fragmented manual registration processes towards a centralised digital registration and attendee management workflow.

This reduced dependency on Excel sheets, Google Forms and separate tracking documents, making attendee information easier to manage and maintain.

2. More Efficient Daily Check-In

Mobile check-in enabled the on-site team to digitally verify attendees and record attendance.

On Day 1, attendees collected their passes through the registration counter with on-site badge printing. From Day 2 onwards, mobile check-in allowed returning attendees to be verified and their daily attendance recorded more efficiently.

3. Centralised Event Information

APE provided attendees with one digital destination for accessing key event information, including the agenda, speakers, sponsors and announcements.

Additional features such as favourite sessions and one-to-one chat also supported a more interactive and connected event experience.

4. More Flexible Promo Code & Payment Management

The registration platform enabled the organiser to manage payment collection and multiple promo codes through a centralised system.

This made it easier to control and monitor the utilisation of each promo code while maintaining registration and payment records within the same platform.

5. Improved Lead Engagement

Evelet provided participating stakeholders with a digital method for capturing and managing leads during the event.

This created a more structured approach to lead retrieval compared with manual collection methods.

6. Consistent Support Across Three Venues

Despite the event moving between Heritage Valley, JIOSpace and ZeppKL, Evenesis provided continuous technology and operational support throughout the three-day summit.

The team adapted the equipment, manpower and registration setup according to each venue’s requirements, helping maintain a consistent attendee experience across different environments.

Business Impact

1. Operational Efficiency

Evenesis brought registration, payment management, mobile check-in, badge printing and attendee management into one connected event workflow.

This helped reduce manual processes and provided the organiser with a more structured way to manage attendee information and attendance across multiple event days.

2. Better Attendee Experience

The attendee journey was supported from registration through to on-site arrival and event participation.

Mobile check-in helped simplify daily attendance verification, while APE provided a centralised platform for accessing event information, sessions, speakers, sponsors and attendee engagement features.

3. Stronger On-Site Operations

Dedicated Evenesis supervisors and crew provided hands-on support throughout the event.

From equipment setup and crew training to badge printing, check-in and attendee assistance, the on-site team helped manage the operational requirements of each venue.

4. A Connected Multi-Venue Event Experience

The combination of event technology and on-site support allowed the organiser to maintain a connected event operation despite moving across three different venues.

The solution provided a consistent technology and operational framework while allowing the team to adapt to the specific requirements of each location.

Impact & Conclusion

Cradle LIVE! ASEAN Startup Summit 2025 demonstrated the importance of having an integrated event technology and on-site operations partner for a complex multi-day, multi-venue event.

By combining Evenesis PPE, payment management, mobile check-in, APE, Evelet, badge printing and dedicated on-site support, Evenesis helped the organiser move away from fragmented manual processes and create a more structured attendee journey.

From registration and payment to check-in, event information and lead engagement, the integrated solution supported the organiser across three days and three different venues, helping deliver a smoother and more coordinated summit experience.

Evenesis provided the technology and operational support needed to keep the attendee journey connected wherever the event took place.
